Operations Administrator

We are seeking an experienced professional with a knack for
analytical thinking and attention to detail to join our corporate
office. The operations administrator will collaborate with all
operational units of the company to ensure customer satisfaction
for our customers, professional fulfilment for the staff and
overall organizational excellence. Operational units are Capture
and Business Development, HR and Recruiting, Accounting and Finance
and Client Services. This position requires the ability to be agile
and function in multiple capacities and experience with working in
a small business. You will report directly to our Managing
Director.
Specific Duties include:
This role has three main duties:
- Provide corporate program management for all contracts, support
PMs and be the POC for risk escalation to the corporate office on
all projects
- Collect monthly reports and prepare and submit invoices via
government payment portals monthly
- Oversee Subcontractor performance to ensure compliance with
Subcontractor agreements and process Sub K payments monthly through
AMA vendor payment systems
- Process reimbursements for pass through contract expenses
through AMA vendor payment systems as needed on contracts
- Drive optimum customer experience by engaging in regular check
ins and providing corporate support when needed
- Support HR and Recruiting units for staffing up new contracts
and establishing transition plans
- Quality Manager
- Conduct monthly inspections of all 7 AMA Core process that
drive business units to ensure alignment
- Complete Corrective Action and Preventive Action as
needed.
- Recommend improvements for improved service delivery and
efficiency in operations, including use of technology
- Facilitate continuous improvement sessions when necessary and
provide support to staff during changes if needed
- Drive AMA's annual ISO certification audits, conduct internal
audits and provide recommendations to improve AMA's Quality
Management System
- Administrative
- Support Corporate office operations as needed
- Communicate and seek approval for company resources for
business units
- Participate in required meetings, trainings and sessions as
required
- Support annual recertification and compliance requirements for
AMA contract vehicles: SBA 8a, WOSB, Hubzone, GSA MAS and GSA STARS
III
- Executive Support to AMA's managing Director
Requirements:
- Must understand federal contracting industry and have at least
2 years' experience supporting a federal contractor on the
corporate level.
- Minimum 2 years' experience supporting government contracts and
contract invoicing.
- Minimum 2 years' experience supporting coordination of
high-volume travel and expense reimbursement operations.
- Experience with QuickBooks and vendor payment system a
must
- Experience with ASANA or similar project management tool a
must
- Experience with ISO 9001 2015 standards preferred
- Must possess a clear understanding of contract terms, in
relation to Independent Consulting Agreement, Confidentially
Agreements, Teaming Agreement and Subcontracting agreement.
- Must have excellent oral communication and writing skills/
Proofreading
- Must take pride in the work and promote the AMA corporate brand

- Must have strong interpersonal skills: Be able to foster a
positive atmosphere in the office that reflects our corporate

- Must be creative and innovative, willing to bring new ideas and
fresh thinking and have an enterprising attitude.
- Must be willing to come into corporate office at Laurel, MD at
least 3 days per week.
- Bachelor's degree in business or related field preferred.
