BAE Systems, Inc. is seeking an experienced administrative professional with obsessive attention to detail and excellent communication skills to provide support to the Senior Vice President of Strategy and Planning (SVP, S&P) and limited staff. This position will act as the administrative focal point for the SVP, S&P and will be responsible for providing analytical and specialized administrative support for a variety of duties and tasks, as well as day-to-day coordination of the SVP's busy schedule. In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations. Additional responsibilities and opportunities exist to support and lead critical projects with other S&P Leadership Team members. This position allows for a hybrid remote work schedule, requiring, on average, 3 days per week onsite.Primary duties and responsibilities:

  • Support the SVP and limited staff as the administrative focal point;
  • Maintain the SVP calendar, arrange meetings and appointments. Maintain and track meeting action items through completion;
  • Manage communications with senior level internal and external customers. Maintain a variety of soft and hard copy records/files that involve company private data that if revealed would be detrimental to the company's interests;
  • Coordinate, facilitate and provide support for various conferences, meetings and events with a high degree of tact and diplomacy. Manage tele-conference and Web-Ex connections. Handle the catering for meetings and events. Coordinate highly visible meetings and support international guests during these meetings;
  • Maintain office supplies that are essential for successful operation for the SVP. Perform general administrative duties including but not limited to: typing, copying, collating, stapling, preparing packages for delivery, filing, recordkeeping, and data entry;
  • Lead and assist with critical projects as a member of the leadership team. Create PowerPoint presentations with embedded excel for quarterly business meetings and others documents as required. Support metrics analysis, web maintenance and SharePoint coordination;
  • Coordinate extensive domestic and international travel for the SVP/s. Manage travel arrangements, expense reporting and procurement card reconciliation;
  • Manage all aspects of receiving and screening all forms of communication as required;
  • Other duties as requested. Required Education, Experience, & Skills
    • High school diploma or equivalent with 5 years of related experience;
    • Bachelor's degree may replace the experience requirement;
    • Ability to organize a daily workload by priorities;
    • Must have a proactive approach to problem-solving with strong decision-making skills;
    • Ability to independently develop solutions;
    • Strong organizational and follow up skills;
    • Professional level verbal and written communications skills;
    • Advanced level proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook.
    • Ability to manage complex calendars;
    • Experience facilitating executive travel and organizing small to medium size events;
    • General knowledge of computer hardware and office equipment.Preferred Education, Experience, & Skills
      • Administrative/business school or associate's degree;
      • Certified administrative professional;
      • Formal training in Microsoft Office Suite to include Outlook;
      • 10 plus years of related experience.Pay InformationFull-Time Salary Range: $69520 - $111210Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
